 Germany Business Visa – Document Checklist

To apply for a Germany Business Visa, applicants must arrange the following documents carefully. All documents should be recent, clear, and in English or German (with certified translations if applicable).

 Primary Requirements:

1. Passport

   • Original passport with a minimum validity of 6 months beyond intended return

   • Must have at least 2 blank pages

   • Attach old passports (if any)

2. Photographs

   • 2 recent colour photos

   • Size: 35mm x 45mm, white background, matte finish

   • 80% face visibility – Do not use previously used photos

3. Visa Application Form

   • Completed online or manually as per the latest embassy guidelines

   • Duly signed by the applicant

 Covering & Invitation Letters:

4. Covering Letter from Applicant

   • On company letterhead (if employed)

   • Must include:

     • Name, passport details

     • Purpose of visit

     • Dates of travel

     • Guarantee of expenses

     • Designation and responsibilities

5. Business Invitation Letter from Germany

   • Issued by the German host company

   • Should mention:

     • Purpose and duration of visit

     • Business relationship

     • Confirmation of who will bear expenses

   • Signed and stamped by the inviting company

6. Company Registration Certificate
   (If self-employed – GST, MSME, etc.)

7. Leave Approval Letter / NOC

   • From the Indian employer, on letterhead with stamp/signature

8. Bank Statements
   • Last 6 months personal and/or business account statement
   • Must be updated, original, and sealed by the bank
9. Income Tax Returns (ITR)
   • Last 3 years’ ITRs
10. Salary Slips
    • Latest 3 months’ salary slips

 Additional Documents:

11. Travel Insurance

    • Valid for the entire Schengen stay

    • Minimum coverage: EUR 30,000 or USD 50,000

12. Flight Itinerary

    • Confirmed onward and return travel bookings

13. Hotel Booking or Accommodation Proof

    • If not provided by the inviting company

Important Notes:

• First-time Schengen travelers must appear in person for biometric submission.

• Biometric data is valid for 5 years if previously submitted (after 2nd November 2015).
